Gift Voucher Terms & Conditions​

1. Purchasing Gift Vouchers
You may purchase Cotswolds Hotel & Spa Gift Vouchers through a variety of channels, including our website, our Hotel and Spa or Golf Course. You undertake that all details you provide to Cotswolds Hotel & Spa for the purpose of ordering any Gift Vouchers are correct and that the credit or debit card you are using is your own and that there are sufficient funds to cover the cost of the Gift Voucher(s) ordered.

Gift Voucher purchases are only valid once you have paid for them in full and you receive a confirmation of the Gift Voucher purchase, which validates your purchase. Please check this confirmation carefully, as we may not be able to amend any issues at a later date.

Each Gift Voucher has specific terms and conditions of use, such as the product or service that it can be redeemed against, the days of the week on which it may be used and the expiry date by which it must be used. These terms and conditions are clearly shown to you before and when you purchase your voucher. Please check them carefully as we are not able to amend them once a Gift Voucher has been issued.

All of our prices are inclusive of VAT (where applicable).

2. Receiving Gift Vouchers
You may choose to receive your Gift Voucher by email as an “e-voucher” (for no extra charge), in person at the Hotel & Spa (printed for no extra charge), in person at the Golf Course (printed for no extra charge) or by post (for a postage & packing fee).

“E-Vouchers” are issued immediately after purchase (subject to system uptime) and sent to your chosen email address alternatively Gift Vouchers purchased at the Hotel are typically printed and issued to you upon purchase.

We endeavour to dispatch any postal Gift Vouchers within 72 hours of purchase, but we cannot guarantee this and take no responsibility in the event of delayed arrival of posted Gift Vouchers. Gift vouchers will usually be sent out via Royal Mail “Signed for” however in rare circumstances our delivery partners may accidentally lose your purchase, and in this case you should contact our Hotel Reservations Team who will arrange for a new replacement Voucher. Your original old Voucher will be cancelled if a replacement is issued. The new voucher will include a note to say the old invalid Gift Voucher number(s) and the current active Gift Voucher number just in case the original vouchers should materialise at a later stage

3. Using Your Gift Vouchers
Gift Voucher use is subject to the terms of the specific Voucher in question (such as product or service, and day of week or season) and all Gift Vouchers have a strict expiry date after which your Gift Voucher can no longer be used. Some Gift Vouchers, in particular those relating to accommodation, golf tee times or spa treatments, are subject to availability at time of redeeming your voucher / making your reservation and we therefore strongly recommend that you book as early as possible to have the widest possible choice of dates & times. You may redeem your voucher by contacting our Hotel Reservations Team by telephoning the hotel directly, in person directly at the hotel reception desk or by emailing our hotel directly at enquiries@cotswoldsclub.co.uk . We will use all reasonable endeavours to meet your requirements for booking but we do remind guests that we cannot guarantee any specific date or time.

Once booked, on the day of your reservation, please bring your E-Vouchers / Gift Vouchers with you and upon arrival and infrom our Reception that you wish to use it towards part of or in full for your stay / spa / golf experience. E-Vouchers must be able to clearly show the Barcode on the voucher in order to be scanned and redeemed and therefore you may wish to print out your voucher at home and bring it on the day with you. In the event we are not clearly able to identify the voucher you will be required to use your voucher on an alternative occasion and settle this reservation by alternative means.

Please note that for security reasons you cannot use a Gift Voucher within 14 days of original purchase.

4. Cancelling or Amending Gift Voucher Bookings
Should you cancel a reservation which was made using your E-Voucher / Gift Voucher, then the cancellation terms for that particular reservation or experience will apply. This information can be found on your confirmation that you received when redeeming your voucher.

If you cancel your reservation or experience within the permitted timings of your reservation or experience, your E-Voucher / Gift Voucher will be reinstated to its full value and you can use it on another booking or at our discretion a new E-Voucher / Gift Voucher may be issued. If you cancel your reservation or experience outside the permitted timings, we will consider your E-Voucher / Gift Voucher to have been used towards the cancelation penalty in full and you will not be able to use it on another booking.

5. Refunding Gift Vouchers
Under the Consumer Protection Contracts Information, Cancellation and Additional Charges Regulations 2013, you have the right to cancel your order with Cotswolds Hotel & Spa until 15 days from the day of receipt of your Gift Voucher(s). If you wish to cancel your order during this time, you should contact us and we will refund you the price you have paid for the Gift Voucher(s) within 14 days. Your statutory rights are not affected.

You cannot cancel and refund a Gift Voucher that has already been used.

7. Small Print
For legal reasons, we need to also include the following standard contractual clauses:

Limitation of liability
To the fullest extent permissible under applicable law, we disclaim any and all warranties of any kind, whether express or implied, in relation to the services we offer you. This does not affect your statutory rights as a consumer under the Consumer Rights Act 2015 or your cancellation rights under these terms. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or our failing to use reasonable care and skill, but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if either it is obvious that it will happen or if, at the time these terms were entered into, both we and you knew it might happen. Nothing in these terms shall exclude or limit our liability for death or personal injury caused by our negligence or the negligence of our employees or Agents. In the event that Cotswolds Hotel & Spa breaches its contract with you, Cotswolds Hotel & Spa shall be responsible only for refunding the cost of the Gift Voucher. Cotswolds Hotel & Spa shall not be liable to pay any other compensation or losses suffered by you as a consequence of Cotswolds Hotel & Spa’s breach of contract.

Your obligations
When staying at our hotel, you agree to comply with all licensing, health and safety, hygiene and all other applicable regulations. You also warrant that you will not cause damage to the premises. Cotswolds Hotel & Spa reserves the right to charge you the amount of making good any damage caused to our premises, as well as the cost of any items taken from our premises in full.

This agreement
Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect. Any provision of these terms that is expressly, or by implication, intended to come into or continue in force on or after termination of these terms shall remain in full force and effect. Each party agrees that it shall have no remedies in respect of any statement, representation, assurance or warranty (whether made innocently or negligently) that is not set out in these terms and conditions.
